Privacy Policy

Effective date: August 25, 2026 |  Last updated: August 25, 2026

WELL BALANCE, LLC, doing business as Well Balance Counseling & Performance (“Well Balance,” “we,” “us,” or “our”), respects your privacy. This Privacy Policy explains how information is collected, used, disclosed, and protected when you visit https://wellbalancesf.com/ or interact with website features that link to this policy.

Clinical Information

This policy concerns the public website. Protected health information created or received in connection with counseling services is governed by our Notice of Privacy Practices and applicable law. Please do not submit clinical details, diagnoses, treatment information, or urgent concerns through a general website contact form.

Information We Collect

Information you choose to provide

Depending on the website features you use, you may provide your name, email address, phone number, preferred method of contact, the general reason for your inquiry, newsletter preferences, or other information you include in a message. Please share only the minimum information needed for us to respond.

Information collected automatically

Our website and service providers may automatically collect limited technical information, such as IP address, browser and device type, pages viewed, referring page, approximate location derived from IP address, and the dates and times of visits. Cookies and similar technologies may support security, site functionality, preferences, and measurement.

Your Information

How we use information

·  Respond to inquiries and provide requested information.

·  Operate, maintain, secure, and improve the website.

·  Schedule services or direct you to a secure scheduling or client portal, when requested.

·  Send newsletters or educational updates when you have chosen to receive them; you may unsubscribe at any time.

·  Understand general website use and performance.

·  Comply with law, enforce our policies, prevent misuse, and protect rights, safety, and property.

We do not use website inquiry information to establish a counseling relationship, make a diagnosis, or provide emergency care.

How we disclose information

We may disclose information to vendors that help us host, secure, maintain, measure, or operate the website and related services. These providers may process information only as permitted by their agreements with us and applicable law. We may also disclose information when required by law, to respond to lawful process, to protect safety or rights, or in connection with a merger, sale, financing, or transfer of all or part of the business.

We do not sell personal information or share it for cross-context behavioral advertising.

Cookies and choices

You may accept or decline nonessential cookies and tracking technologies through the cookie banner displayed when you first visit our website. If you decline or close the banner, nonessential tracking tools will not load. You may also manage or delete cookies through your browser settings, although doing so may affect certain website features.

We have not independently configured our website to respond to browser-based “Do Not Track” or Global Privacy Control signals. Please use the cookie banner or your browser settings to communicate your preferences.

Email and text communications

Email and ordinary text messaging may not be secure. Do not use them for emergencies or send sensitive clinical information unless we have provided and agreed on an appropriate communication method. Marketing emails will include an unsubscribe option. Service-related messages may continue when needed to respond to your request or administer a service.

Data retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy or as required by law.

  • Contact-form submissions and general inquiries: We generally retain these communications for up to 12 months after our last interaction. Information may be retained longer when necessary to respond to an ongoing request, document a business communication, resolve a dispute, or meet a legal obligation. If an inquiry leads to services, relevant information may become part of the individual’s clinical or business record and will be retained according to the requirements applicable to that record.
  • Mailing-list information: We retain subscriber information until the individual unsubscribes or asks to be removed. After an individual unsubscribes, we may retain limited information, such as the email address and opt-out status, on a suppression list to ensure that future marketing messages are not sent.
  • Website analytics: Analytics information is retained according to the settings and retention practices of our website and analytics service providers. We retain or use this information only as long as reasonably necessary to understand website activity, maintain website security, and improve website performance.
  • Other website and business information: Appointment, transaction, or administrative information collected through the website may be retained as necessary to provide requested services and comply with applicable legal, accounting, tax, contractual, and record-keeping requirements.

Security

We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information. No internet transmission or storage system can be guaranteed to be completely secure. For counseling-related communications and documents, use the secure method we provide.

Children’s privacy

This public website is directed to a general audience and is not intended to collect personal information directly from children under 13. If you believe a child has submitted personal information through the website, contact us so we can review and respond appropriately.

Third-party links and services

The website may link to or embed services operated by others. Their privacy practices are governed by their own notices, not this policy. Review those notices before providing information.

Your privacy choices and rights

You may ask to access, correct, or delete personal information collected through the public website, or withdraw consent where applicable. Some requests may be limited by law, security needs, record-keeping obligations, or our need to verify identity. To submit a request, contact liz@wellbalancesf.com. Rights concerning clinical records are described in the Notice of Privacy Practices.

Changes to this policy

We may update this Privacy Policy to reflect changes in our services, technology, or legal obligations. The “Last updated” date will show when the current version was posted. Material changes will be communicated in an appropriate manner.
